Contracts Administrator
Job Purpose: To provide administrative support to the contracts and site services teams, ensuring site activities and associated logistics are accurately organised, compliant, and efficiently managed. The role supports contract lifecycle processes while coordinating practical requirements for field-based installation teams.
Key Responsibilities
Contract Administration
- Assist in administration for all team members
- Maintain accurate contract records, databases, and filing systems
- Track contract status, key dates, renewals, and expirations
- Ensure all contract documentation is complete and stored in accordance with company procedures
Operational & Site Coordination
- Coordinate site tools and equipment for installation teams
- Assist in locating and organising materials required for installations
- Maintain installation specific trackers and documentation
- Coordinate site inductions, including booking and portal updates
- Purchase consumables and site related items for installation teams in line with company procedures
- Book and manage accommodation for stay away installation teams
- Coordinate travel arrangements for site teams, including vehicle bookings, tolls, fuel/admin tracking, and related logistics
- Support smooth mobilisation of site teams by ensuring required resources and documentation are in place
Training & Compliance Support
- Coordinate Operations Services specific training requirements for installation teams
- Arrange and track certifications including Sentinel, PTS, CSCS, NVQ, and other required training
- Maintain training records and ensure expiry dates and renewals are monitored
- Support compliance with company, client, and industry standards
Coordination & Communication
- Act as a point of contact for contract and operational queries from internal teams and external stakeholders
- Liaise with legal, finance, procurement, operations, and project teams to gather required information
- Coordinate contract approvals and signatures
- Support onboarding of new suppliers, subcontractors, or clients
Reporting & Data Management
- Maintain trackers and produce regular reports on contract and operational status
- Update systems with contract values, milestones, installation progress, and changes
- Assist with KPI and performance data collection
General Support
- Provide administrative support to contracts, commercial, and operations teams
- Support audits and compliance checks by retrieving and organising documentation
- Assist with continuous improvement of contract and operational processes

Knowledge & Experience
Essential
- Experience in administrative, coordination, or operations support role
- Experience maintaining trackers, records, or databases
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience supporting field teams, projects, or logistics
Desirable
- Experience supporting site construction personnel, rail, civil and installation teams general requirements
- Knowledge of contract lifecycle or commercial administration
- Familiarity with Sentinel, PTS, CSCS, NVQ, or similar certification schemes
- Experience using contract management, ERP, or training tracking systems
